The Opportunity

United Minds is looking for a seasoned Executive Assistant to support the team with day to day administrative and operational duties. The ideal candidate will be someone who is proactive, resourceful, highly organized, diligent, detail-oriented, efficient, and takes initiative. This EA would be unflappable and thrive in a high-intensity, fast-paced environment. Due to the nature of the work, the candidate must have meticulous attention to detail and able and eager to manage multiple responsibilities.

Responsibilities

  • Provide EA support for United Minds’ CEO including:
    • Calendar and appointment management (navigating both internal teams as well as interfacing with clients and prospects)
    • Time and expense submissions
    • Domestic and international travel arrangements, including preparation of detailed travel itineraries
    • Oversee logistics and provide both on-site and virtual support for internal and external meetings (scheduling, room booking, catering, material prep, key stakeholder coordination, etc.)
    • Office expenses, including supplies, subscriptions, and gifts
  • Provide light administrative support to:
    • 5 members of UM’s senior leadership team (travel, expenses, basic meeting support)
    • VP, Operations (logistics for internal team meetings, and coordination of operational processes such as onboarding, resourcing and L&D trainings, etc.)
  • Support senior team in keeping appropriate agency systems updated (e.g. client and team listservs, etc.)
  • Work with team members to create vendor reports and purchase orders
  • Galvanize and reinforce company culture through the management of recognition and celebratory events (birthdays, anniversaries, office summer/holiday parties, happy hours, etc.)
  • Update, modernize and oversee management of essential team documents and resources
  • Other special projects as assigned

Basic Qualifications:

  • At least 5 years of professional experience in a fast paced, professional environment
  • Previous assistant experience in a professional services organization or agency environment
  • Proficient in MS Office, Word and Excel with strong PowerPoint skills and experience editing presentations
  • Smart, self-starter, resourceful, service-oriented partner and ready to jump in
  • Ability to have discretion with confidential information
  • Excellent attention to detail and flawless execution
  • Thrive in a fast paced environment and be solution-oriented
  • Client service experience a plus
  • Knowledge of SAP is a plus

ADDITIONAL INFORMATION.

NYC Salary Range: $70,000-$95,000

Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience, and qualifications.

MOTION GRAPHICS DESIGNER & EDITOR

Weber Shandwick, one of the world’s leading marketing and communications agencies, is seeking a creative, passionate and unique thinker to join our New York office as a Graphic & Motion Designer. You’ll join a growing and innovative team of art directors, designers and writers, working primarily with a global consumer electronics client.

The right candidate will be skilled in both motion graphics animation and editing, with an eye for design and experience in production/videography (or strong willingness to learn).

You should also have a keen awareness of pop culture and social trends and will be asked to contribute fresh, culture-forward ideas for our client’s social channels.

RESPONSIBILITIES

  • Develop video and motion design for both internal and customer-facing touchpoints (e.g., sizzle reels, out-of-home advertising, social media posts, product demos, etc.). .
  • Ability to translate existing campaign visuals into motion and develop net-new visuals adhering to brand guidelines.
  • Social media content creation for both organic and paid media content.
  • Use the medium of video editing to tell a compelling story.
  • Participate in content shoots — filming on phone or DSLR camera (as the situation requires), assisting with setting up/breaking down lighting and set dressing.
  • Assist with pre-production, including researching locations and props.
  • From concept to execution, bring an enthusiasm for solving design and marketing challenges throughout the life of a project, and amid stakeholder revisions.
  • Have mastery of all major design, video and animation software.
  • Work with Art Directors to create compelling visuals and bring conceptual tactics to life.
  • Display an understanding of digital and interactive design principals; we do not produce many websites or mobile apps, but need someone who can speak to and define those UX/UI needs when necessary.

BASIC QUALIFICATIONS

  • 2 – 5 years of experience in video production, editing and motion graphics as well as design.
  • Extreme comfort with all relevant motion and design software (Eg: Adobe Creative Cloud, including Premiere and After Effects, Illustrator, Photoshop, InDesign), as well as presentation software (Eg: PowerPoint).
  • Basic HTML5 coding skills.
  • Self-motivated entrepreneurial and endlessly curious.
  • Ability to multi-task, prioritize and manage your own time in a deadline-driven environment. 
  • Experience with social media platforms and a working knowledge of their best practices.
  • An interest in staying on top of emerging platforms, mobile design and development trends.
  • Must have a portfolio (share anything that conveys the way you think or approach assignments, even if it was never produced).

ADDITIONAL QUALIFICATIONS

  • Education in advertising design and conceptual thinking is preferred.
  • Bonus skills: illustration, photography, retouching, filmmaking, etc. Any artistic passion points are always a plus.
  • Knowledge of or strong interest in consumer electronics a plus.

Project Manager

Weber Shandwick is currently seeking a Project Manager for the Boston Project Management team who will work closely with team members in account, creative, public relations and strategy, as well as report to a VP of Project Management, across a portfolio of brands and/or projects.

Responsibilities:

  • Assists development of digital, social and PR campaigns; collaborates with internal stakeholders and manages vendors.
  • Helps monitor financial performance of accounts including scopes, burn report summaries and forecasting
  • Leads internal team members on day to day projects, and deliverables
  • Participates in client-facing meetings and communications, relative to financial management of the account (SOW development; monitoring and tracking deliverables/budgets; change management and reporting) and project road maps/timelines (project plans)
  • Partners with WS account team to manage team on-boarding processes
  • Supports in educating the team on roles and responsibilities, process and templates
  • Demonstrates strong, professional work ethic and financial acumen

Basic Qualifications:

  • 3-5 years of project management experience, preferably in public relations, or advertising agency setting
  • Healthcare project management experience; legal prep review and submissions
  • Exposure to scoping, burn report tracking, and understanding of relationship when scheduling projects
  • Fluency and/or familiarity with different types of programs and deliverables, such as creative ideation, social and digital
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Bachelor’s degree required

About the role 

We are seeking a bright and motivated Executive Assistant with a proven track record and a passion for excellence to support our Managing Director in Japan. In this role, you will be responsible for managing both EA tasks for the MD and managing the Workforce Solutions team of 3 people.  

 

Responsibilities:  

  • Manage MD’s calendar and schedule, including arranging external and internal meetings with colleagues, clients and business partners, and optimizing their access to MD 
  • Attend weekly and monthly management meetings to take minutes 
  • Support administrative tasks around client service, working closely with Team Leaders to consolidate critical information and action items 
  • Input time in internal time record system on behalf of MD in a timely manner 
  • Processes expense claims in a timely manner 
  • Arrange seasons greetings and gifts for colleagues, clients and business partners per MD request 
  • Act as point of contact for various corporate memberships, creating purchase orders, processing invoices, and ensuring registration information is up to date 
  • Manage office facilities (company common tools, services, equipment, etc.) and lead a team of 3.  
  • Manage company common expenses (Digital tools, Software services, etc.) and liaise with Finance  
  • Plan and operate hybrid (working from office + working from home) work environments  
  • Select, contract, negotiate and manage outsourcing companies for office services  
  • Manage facilities, equipment, stationery, business cards, mails, and courier services, etc.  
  • Support company events for employee engagement  

 

Requirements 

  • At least 5 years’ experience in EA / Secretarial / General Affairs work in a multinational company   
  • Native level language skills of Japanese and Business level language skill of English (TOEIC 800 and above)  
  • Good communicator, with ability to convey information accurately to internal and external stakeholders 
  • Professional and discrete in handling confidential information 
  • A proactive problem-solver with interest in business AI tools to streamline the MD’s workflow and approval processes 
  • Business Communication skills, problem-solving skills, Logical/ Analytic thinking, and abilities to suggest improvements 
  • Ability to multi-task in a fast paced and dynamic working environment 
  • Business level Microsoft Excel, PowerPoint and Word. (Familiarity with SharePoint a plus.)
