We are looking for a Financial Analyst who will approach work with a sense of possibility and see challenges as opportunities for creative problem solving; take initiative to explore issues and find innovative solutions. This person will report to Senior Finance Manager.

Essential Duties & Responsibilities:

  • Responsible for maintaining various financial trackers (revenue, billing, burn reports, etc)
  • Assist in preparation and maintenance of employee utilization reports
  • Assist in month end closing processes
  • Time analysis, adjustments, and due diligence
  • Journal entry preparation
  • Updating budgets with month-end actuals
  • Preparing top down financial reports for management
  • Support practice groups by providing financial data as needed
  • Partner closely inter-departmentally to ensure proper and accurate recording and reporting of financial and accounting transactions
  • Proactively document, follow up on, and close out in a timely fashion any revenue, budgeting, billing, invoicing, or payment issues that pertain to Client(s)
  • Assist in the creation and preparation of annual budget & quarterly forecast
  • Monitor jobs, estimates and rate cards to ensure accuracy
  • Monitor project activity to ensure job codes are opened/maintained/closed accurately and in a timely manner in accordance with the SOW in coordination with client service team and biller
  • Partner with client service teams to ensure monthly financial schedule is followed, including but not limited to WIP management, billing, % effort complete
  • Serve as reliable and forward-thinking business analytics resource on dedicated accounts
  • Special project as assigned
  • Collaborate closely with the Account lead to review work in progress (WIP) reports and implement necessary adjustments for billing purposes.
  • Collaborate closely with the Biller to facilitate transfers and ensure that billing is completed accurately and promptly.
  • Maintain and update WIP and billing status tracker
  • Work with Account leads and Billers to set up and initiate job closures timely
  • Ensure that Account teams and Project Managers have access to the accurate and necessary information they require.
  • Notify Account teams and Project Managers of the assigned job numbers once the jobs have been successfully set up.
  • Regularly update and maintain Job tracker for all ongoing jobs
  • Continuously monitor the scope of work request repository and verify that accurate rates are utilized in the creation of the Statement of Work (SOW).
  • Diligently maintain the billing tracker, meticulously documenting each step from the WIP report to billing, and ensuring that all actions are accurately recorded and followed up on.

 

Qualifications

  • Bachelor’s Degree in Finance or Accounting with 2+ years of experience
  • SAP and Hyperion background preferred
  • Proficiency in Microsoft Office with very strong excel skills
  • Excellent oral and written communication skills
  • Ability to effectively work and communicate with finance and non-financial people, alike
  • Ability to effectively manage workload, prioritize and streamline tasks to ensure accuracy and, take “ownership-mentality” in work/clients
  • Able to anticipate problems, analyze situations and proactively come up with solutions
  • Agency experience preferred

What We Are Seeking

We’re seeking a candidate to fill a Vice President, Resource Management role to oversee Resource Management for NA Creative and Strategy Capabilities.

You will work closely with capability leads, project managers, finance, account teams and office/practice leads, as well as other members of the RM team, to gather forward-looking staffing projections for the office, enter the data (or work with PMs to ensure that it is entered) into a centralized tool, analyze forward-looking and backward-looking data. Provide strategic and proactive recommendations for resource needs across all disciplines along the way. The ideal candidate will possess a strong grasp on details associated with overall staffing & capacity management as it relates to skills, experience, capability nuances and career development for our talent here at Weber Shandwick. In addition to a geographical remit, this RM lead will also partner with capability leads to identify rotational strategies and skills mapping/assessment efforts, ensuring accounts are appropriately cast both for the business and for the career development and growth of the individuals at hand. Ideally, you’re a juggler, a problem solver, and a quick, strategic thinker with a level head and excellent people skills. What You Will Be Doing

  • Supports Agency Operations lead and senior team members by motivating and directing junior team members, escalating issues upward as needed.
  • Supports account & client ops leads to standup teams following a new win or expanded work, leading or supporting depending on level of complexity and as directed by Agency Operations/RM capability leader
  • Meaningfully participates in discussions around shared best practices & consistent ways of working, carrying out implementation plans and directing more junior team members
  • Ensures excellence (for self and more junior team members) in implementation of plans and consistent ways of working
  • Supports in aspects of innovation and evolution strategy development, carrying out implementation plans and directing more junior team members

Basic Qualifications

  • Minimum of 8 years of related professional experience

  • Ability to manage more junior members of the RM team
  • Highly organized and able to manage multiple projects and adapt to shifting priorities

About The Opportunity:

Reports to Commercial Manager. Role to perform Job Management responsibilities in a timely and accurate manner, in accordance with defined operating procedures. Finance Specialist will ensure timely creation, maintenance and closure of job, clean up aged WIP and Defer and issuance of invoices. The Finance Specialist will contribute to achievement of Job Management performance and quality standards as defined in relevant service level agreements.

 

What You Will Do:  

  • Responsible for daily project accounting tasks in the whole life cycle of each job from job creation through job closure and ensure compliance of all related IPG polices and processes.
  • Ensure that all revenue is backed up by correct client documentation or intercompany agreements (IOA/ISR), and assist Commercial Manager in ensuring revenue recognized in line with SOX / SP&P requirements. Maintain all documents as required by IPG policy and Japan local regulations.
  • Issue invoice to clients as per contracts or clients’ requirements in a timely and accurate manner, proactively communicate with Agency staff during invoice processing
  • Perform Job TECO checking with agency staff, TECO jobs in system as confirmed by agency with supporting, prepare month-end revenue worksheet and revenue JE. Edit revenue reserve in system.
  • Reconcile WIP and Deferred revenue accounts monthly, provide qualified explanation to those long aging items, review with Commercial Manager, and/or Agency management if necessary.
  • Work with Agency staff and Commercial Manager to clean up long aging items for WIP and deferred accounts.
  • Be responsible for new customer application and master file maintenance
  • Other tasks assigned by Commercial Manager

Query Handling

  • Respond promptly to queries from Commercial Manager or directly from agency staff and external customers and escalate as appropriate.

General

  • Perform other duties, within Job Management and Billing areas, as agreed with Commercial Manager
  • Achieve performance objectives agreed with Commercial Manager
  • Contribute to job management process improvement initiatives as required.

 

What You Will Need: 

  • 2-3 year experience in Accounts Receivable or related processes 
  • Bachelor’s degree
  • At least 2 year accounting experience in a project oriented environment. Background of billing or project accounting is a plus.
  • Effectively communicate in business English and Japanese (oral and written skills)
  • Intermediate MS Excel Skill

 

Preferred Experience:   

  • Good working knowledge of SAP is preferred. (Similar tool experience preferred
  • Good understanding of end-to-end PR projects from job creation to closure is a plus
