Weber Shandwick is looking for an Administrative Assistant to support a senior leadership team.

This Administrative Assistant is designed to support the finance team across Canada. Due to the nature of the work, you must have meticulous attention to detail and be able and eager to juggle multiple responsibilities. You will be tasked with supporting key activities including but not limited pulling finance related reports, inputting data from Excel, and partnering with our Client Experience team. You will possess strong organizational skills and familiarity with a fast-paced, deadline-oriented environment.

 

Responsibilities include but are not limited to:

Expense reporting

  • Meeting support
  • Supporting accounts payable processes
  • Maintaining and updating Excel-based reports and data
  • Help in month end close process
  • Analyze time data
  • Help with vendor setup and payment
  • Presentation design
  • Coordinating with Finance and HR and management of contacts
  • Other special projects as assigned

 

Qualifications

  • 0-2 years of experience
  • Must be technically savvy– Proficient in MS Office Suite
  • Smart, self-starter, resourceful and ready to jump in
  • Additional Qualifications:
    • Client service experience a plus
    • Extreme attention to detail, ability to multi-task and juggle priorities
    • Articulate, professional phone presence with a positive attitude and excellent communication skills
    • Thrive in a fast-paced environment and be solution-oriented

Toronto Salary range: $50,000 – $65,000

Responsibilities:

  • Help develop and execute innovative and award-winning integrated PR campaigns for major brands
  • Develop strategic media relations plans, including goals and objectives, media targets, story angles and outreach approaches, in collaboration with and support from senior media relations experts
  • Identify and build relationships with influencers and content creators to bring our clients’ stories to life through trusted and relatable voices
  • Identify new outlets and platforms, and creative ways to propel earned-first storytelling for our clients
  • Monitor media outlets, understand industry issues that directly and indirectly affect our clients, and analyze and distill meaningful insights from media coverage
  • Develop strategic messaging and provide counsel for clients’ issues and reputational risks
  • Proactively monitor social media and influencer space for brand-building opportunities while also developing a sense of competitor programs and relevant cultural conversations
  • Develop and track meaningful KPIs to measure the success of campaigns and return on investment for our clients
  • Participation in office-wide initiatives, seminars and meetings to further professional learning and development
  • Assist in the development and coaching of junior team members
  • Actively participate in agency development and assist with new business

KEY QUALIFICATIONS:

  • Approximately 4-6 years of experience, ideally in an agency, communications or journalism environment
  • Strong understanding of the overall media and social media landscapes
  • Experience working with technology and/or telecom clients 
  • Established media relationships and examples of past success
  • Proven ability to garner earned-first coverage and conversation on behalf of brands, organizations, companies or other institutions
  • Familiarity with media and/or influencer databases, journalist-led tools and resources
  • Ability to work effectively with integrated agency teams
  • A working style that is self-motivated, well-organized and resilient to ever-changing timelines, requests and deliverables
  • Strong written, verbal communication, presentation, collaboration and problem-solving skills

The Opportunity

United Minds is looking for a seasoned Executive Assistant to support the team with day to day administrative and operational duties. The ideal candidate will be someone who is proactive, resourceful, highly organized, diligent, detail-oriented, efficient, and takes initiative. This EA would be unflappable and thrive in a high-intensity, fast-paced environment. Due to the nature of the work, the candidate must have meticulous attention to detail and able and eager to manage multiple responsibilities.

Responsibilities

  • Provide EA support for United Minds’ CEO including:
    • Calendar and appointment management (navigating both internal teams as well as interfacing with clients and prospects)
    • Time and expense submissions
    • Domestic and international travel arrangements, including preparation of detailed travel itineraries
    • Oversee logistics and provide both on-site and virtual support for internal and external meetings (scheduling, room booking, catering, material prep, key stakeholder coordination, etc.)
    • Office expenses, including supplies, subscriptions, and gifts
  • Provide light administrative support to:
    • 5 members of UM’s senior leadership team (travel, expenses, basic meeting support)
    • VP, Operations (logistics for internal team meetings, and coordination of operational processes such as onboarding, resourcing and L&D trainings, etc.)
  • Support senior team in keeping appropriate agency systems updated (e.g. client and team listservs, etc.)
  • Work with team members to create vendor reports and purchase orders
  • Galvanize and reinforce company culture through the management of recognition and celebratory events (birthdays, anniversaries, office summer/holiday parties, happy hours, etc.)
  • Update, modernize and oversee management of essential team documents and resources
  • Other special projects as assigned

Basic Qualifications:

  • At least 5 years of professional experience in a fast paced, professional environment
  • Previous assistant experience in a professional services organization or agency environment
  • Proficient in MS Office, Word and Excel with strong PowerPoint skills and experience editing presentations
  • Smart, self-starter, resourceful, service-oriented partner and ready to jump in
  • Ability to have discretion with confidential information
  • Excellent attention to detail and flawless execution
  • Thrive in a fast paced environment and be solution-oriented
  • Client service experience a plus
  • Knowledge of SAP is a plus

ADDITIONAL INFORMATION.

NYC Salary Range: $70,000-$95,000

Junior Art Director

Job Summary

Weber Shandwick is seeking a dynamic and motivated Junior Art Director to join our growing creative team. We are looking for someone with the right combination of self-motivation, conceptual approach, and the artistic skills necessary to create, sell and execute impactful ideas for our clients. You will be creating videos, social content, activations and experiences for our clients. A passion for type and design, the ability to visually convey your ideas through beautiful comps, and an appreciation for brand consistency must be in your DNA.

 

RESPONSIBILITIES

  • Develop original concepts with the intention of sparking conversation and engagement in media
  • Collaborate with copywriters, producers, creative directors and other team members to flesh out the creative development of your executions
  • Create designs and layouts, establishing the look/tone/feel for campaigns and executions, and convey ideas through well-designed presentations
  • Translate video story ideas into visual sequences through storyboards, mood boards, etc.
  • Present your own creative work internally to teammates
  • Assist creative leads in organizing, attending and directing external agency partners in still and video production
  • Ensure all creative adheres to brand guidelines
  • Maintain strong working knowledge of product features and benefits
  • Incorporate feedback from Creative Directors, teammates and clients with precision and a positive attitude

 

QUALIFICATIONS

  • Must have a portfolio (may include spec work, college work and design examples)
  • Ability to work quickly, efficiently, and accurately within all required aspects of the Adobe Creative Suite (Photoshop, InDesign, Illustrator) as well as presentation software such as Keynote and PowerPoint
  • Familiarity with After Effects, Figma and/or Sketch
  • Ongoing drive to understand emerging techniques, trends and philosophies in design, technology, interaction and social media
  • Willingness to push creative boundaries
  • Able to prioritize and manage own time
  • Work well across various teams
  • Art education in advertising design and conceptual thinking is preferred
