We are looking for a true support for our Business Managers with a key focus on 4 areas:

You’ll be instrumental in working with the business to maintain and continually drive commercial improvement.  We are looking for someone who can help shape the agency from working in silos to a connected team.  You will drive best practice and consistency as well as keeping our KPI’s on track.

What will you be doing?

Partnerships

  • Support the Business Manager across a portfolio of practices / clients
  • Ensuring SOX compliance
  • Ensuring contractual compliance
  • Support with system and process improvement

Reporting

  • Collating executive summary incl. commentary and presenting to MD
  • Preparing monthly/quarterly information reporting to be shared with clients

Revenue / Scoping / Margin Improvement

  • Revenue recognition – ensuring we have a contract and SOX compliance
  • Revenue Analysis Schedule – output Accruals and Deferrals
  • Contract Scoping Desk – Review key commercial information and compliance
  • Chasing client POs for fee billings
  • Attending revenue meetings, review forecasting schedules and highlighting any potential working capital risks – monthly / fortnightly for larger account
  • Review of SOW thresholds up to £50k
  • Reviewing of Inter Office Agreement – SAP- Cost / Intercompany Service Request

Utilisation

  • Time analysis & interpretation (scoped fee vs. actuals) (incl. running the time reports)

Networking Capital

  • Accrued & Deferred Income
    • Minimise Income Accruals and ensure deferrals are reflected in the forecast or journaled where appropriate
    • Deferred Revenue Transfers
    • On a quarterly basis completing estimates to complete on long running high value jobs.
  • Debtors
    • Monthly review meetings with SSC and follow up actions
  • Account Payable
    • Ensure pay when paid for suppliers
  • Reviewing monthly accruals needed for third party costs.

Audit / SOX

  • Audit Requests
  • SOX Collation

Contract

  • Contract Compliance
  • Ensuring compliance with IPG Processes

Who are you?

  • Proven experience of working in a similar environment.
  • Excellent working knowledge of Excel
  • Self-motivated and energetic member of the accounts team
  • Strong attention to detail with the aim of maintaining and improving quality of procedures in line with company policy
  • Able to prioritise and meet deadlines by having a proactive, organised and flexible approach to your work
  • Experience in managing a team

About The Opportunity:

This is a new position within the Japan Finance Team to support the Accounts Receivable (AR) Team following the restructuring of the financial organization. Our A/R and A/P functions are separated into two teams, and this role is great for an up-and-coming accountant who is passionate about numbers that would like to further develop their accounting skills and be a well-valued member in a global organization.

Weber Shandwick is a subsidiary of our parent company, Interpublic Group of Companies (IPG). Our accounting systems are Hyperion (used for financial reporting) and SAP (used for accounting).

Reporting to the Commercial Manager, the successful candidate will be responsible for managing the core jobs related to our client business in compliance with the laws and regulations of our HQ, ensuring the swift and accurate execution of duties.

You will handle tasks such as job creation and subsequent completion, work-in-process, advance payment processing, invoice issuance, and other related duties. You will manage these jobs in accordance to global audit standards and serve as a key player to ensure the success and stability of the Finance Team.

 **Commercial Manager – Senior Finance Manager responsible for sales and sales forecasting-related matters.**

 

What You Will Do:  

  • Responsible for daily project accounting tasks in the whole life cycle of each job from job creation through job closure and ensure compliance of all related IPG polices and processes;
  • Ensure that all revenue is backed up by correct client documentation or intercompany agreements (IOA/ISR), and assist Commercial Manager in ensuring revenue recognized in line with SOX / SP&P requirements. Maintain all documents as required by IPG policy and Japan local regulations;
  • Issue invoice to clients as per contracts or clients’ requirements in a timely and accurate manner, proactively communicate with Agency staff during invoice processing;
  • Perform Job TECO checking with agency staff, TECO jobs in system as confirmed by agency with supporting, prepare month-end revenue worksheet and revenue JE. Edit revenue reserve in system;
  • Reconcile WIP and Deferred revenue accounts monthly, provide qualified explanation to those long aging items, review with Commercial Manager, and/or Agency management if necessary;
  • Work with Agency staff and Commercial Manager to clean up long aging items for WIP and deferred accounts;
  • Be responsible for new customer application and master file maintenance;
  • Other tasks assigned by Commercial Manager.

 

What You Will Need: 

  • High Business English / Japanese (Ability to conduct business smoothly);
  • 2-3 years’ experience in Accounts Receivable or related areas;
  • Minimum of 2 years’ accounting experience in a project-oriented environment (A background in billing or project accounting is a plus);
  • Experience and working knowledge in SAP;
  • A numbers-oriented attitude with an acute attention to detail;
  • **It’s a plus for us if you have an understanding of end-to-end PR projects from job creation to closure (preferred experience).

求められるスキルと経験

Working across a portfolio of both Public Affairs and Corporate Communications accounts, you will be delivering campaigns that help our clients to navigate an unprecedented time of political change and uncertainty whilst creating strategically focused, imaginative, communications solutions as they build and protect their reputations.

What will you be doing?

  • Policy and stakeholder research, and drafting analysis for our clients
  • Development of written copy and media materials such as client briefings, press releases, media pitches and digital content
  • Managing and delivering political engagement programmes
  • Drafting briefings for politicians and other stakeholders
  • Managing outreach to the political and business media as part of integrated campaigns
  • Building your network of political and business contacts
  • Media relations, including pitching to journalists
  • Managing political and stakeholder events
  • Working with polling companies, academics and other research organisations

Who are you?

  • Previous experience working in Public Affairs, either within agency or in-house
  • Knowledge and awareness of developments in the public and national media debate on issues concerned with corporate governance and reputation
  • An analytical mind with an ability to cut through information and find what really matters to clients, political stakeholders and media
  • An excellent communicator with exceptional writing skills
  • Good organisational and project management skills
